✨ Scheduled Routines are now in Teable

Stop asking AI to do the same work every day. With Scheduled Routines, tell Teable AI what to do and when, then activate the task to keep it running on schedule.

:spiral_calendar: Set it once, run it on schedule

Use a routine for work you repeat daily or weekly. Describe the task, the data it should use, and when it should run.

For example:

Every weekday at 9 AM, check the Tasks table for overdue tasks that are still incomplete. Summarize them by owner and include each task’s name and due date.

Every Friday at 5 PM, summarize this week’s sales from the Sales table. Include total revenue, the number of deals closed, and a breakdown by salesperson.

Once the instructions and schedule are ready, activate the task. You won’t need to start a new request each time.

:speech_balloon: Keep earlier results available

Tasks can continue the previous conversation, keeping earlier results available for the next run. This is useful when you want recurring reports to build on previous work.

For example:

Every Monday morning, summarize open support tickets by priority. Compare the results with the previous report and highlight what changed.

:clipboard: See what ran

Open run history to check each run’s status and results. You can review what the AI produced and decide whether the instructions need adjusting.

:gear: Control what runs next

You can change a routine as your needs change:

  • Edit the instructions to change what the AI does.
  • Adjust the schedule to change when it runs.
  • Run it immediately without waiting for the next scheduled time.
  • Pause future runs when the task is no longer needed.

What recurring work would you hand over to Teable AI? Share your use case or questions below.

Glad to hear that! Let us know what you try it with.

Some people still prefer paper planners, highlighting, crossing with their pen. It is like that, and cannot fight against it. They will not even want to try how Teable looks or it’s capabilities. They hate screens, apps, AI.

But they can benefit from the data. Not wasting time looking back and forth what page they wrote something. No more having to make mental calculations on how much someone paid or how many days are left for a dealine. No more having to look what is missing.

The idea is every morning to have delivered reports on how business is going (what tasks are to be done on the day, pending tasks and their deadlines, what clients are lacking behind payments, etc.). All of that in a nice and clear PDF format ready to be printed, even if the person who uses Teable is not there to have the report created out of Teable, because they will have scheduled to get one every morning. They will only have to print it and they are ready to go.

That makes sense. Having a PDF ready to print each morning would let them keep working on paper without someone having to put the report together manually.

How would you like it delivered – by email or another way? Would it go to one person to print for the team, or to each person individually?

Have you tried setting this up yet? Let us know if you’ve run into any issues.

It’s a team of two. Myself and the other person.

It should go to one email address.

At the moment, I’m still working on the previous step, before going to Teable. We work with personally identifiable information, so until I see how it goes with the GDPR…

So far, the idea is to use codes instead of name, and do not enter any email, address or whatever. Until it gets the GDPR in place, plan is to email the report to myself and then run a script locally that will replace the codes by name and surname.

Part of the involved work is saving documents in local folders, and via API tell to Teable what document has been saved.

Example: AGREEMENT John Doe would be saved in Teable as AGREEMENT A001 or whatever (and locally have a master file where we have what 001 stands for, so when running the script the actual PDF has the useful information).

No files saved in Teable, but Teable knows what has been saved locally.

Same with payments. No names added, but codes.

Because my plan is not a generic CRM or ERP , but a very specific tool to cater to very specific situations, its taking me sometime. Plus I am working also with the offline system.

At the moment, I can create some mock up situation and try this in the coming days, as it’s a feature that we will be using everyday and I am very happy to see if it’s working or not.
