Question about seat billing when adding/removing collaborators

Hi everyone,

I’m on the Business plan (Cloud) and trying to understand how seat billing works with collaborators.

What I tested:

  • Added a second user to my space → billing showed 2 seats

  • Removed that user → billing now shows 1 seat again

My questions:

  1. If I remove a collaborator mid-month, will I still be charged for that seat for the full month?

  2. Is there any prorating when adding/removing seats during the billing cycle?

  3. When exactly does the seat count lock in for billing - at the start of the month or at renewal?

My use case: I work with clients who occasionally need edit access (maybe 1-2 times per month), but are usually just commenters/viewers. I’d like to avoid paying $20/seat/month for users who only need temporary edit permissions.

Is there a recommended workflow for this scenario?

Thanks for any insights!

We charge for users with the Editor role or higher (Owner, Creator, Editor). Charges are prorated: if you add billable collaborators partway through a billing period, you only pay for the time the user was actually active in that period.

So it’s not the case that removing a user before the renewal date automatically makes the cost disappear. For example, if you invite a user for 10 hours and then remove them, you’ll be charged for the equivalent of those 10 hours.
